The opportunity

We are seeking an enthusiastic and motivated Receptionist and Administration Assistant with a strong customer service and administration background to join our Administration Services team. Key duties will include managing front-of-house services, preparing seminar advertising, organising catering, stationery, archiving, mail services, etc.

Key duties

In this role you will be expected to:

  • Provide a welcoming and professional first impression for callers and guests.
  • Promptly respond to incoming email, faxes and phone queries.
  • Manage the meeting room booking process on behalf of the staff and in conjunction with other reserved room calendar editors.
  • Disseminate advertising for in-house and external meetings and seminars.
  • Provide administrative assistance on an ad-hoc basis to assist operational divisions when workload dictates.
  • Sort incoming mail quickly and appropriately and record incoming mail for the Finance team.
  • Manage office supply and courier supplier relations including account reconciliation and preparation of payment forms (local, interstate, and international couriers; postal accounts; Alfred car parking, stationery, business cards, etc.).
  • Support the advertising of internal seminars, including organising catering and setting up of meeting space.
Skills and experience

You will have:

  • 1+ years in an administrative, secretarial, or receptionist role; or a combination of relevant experience and/or education/training.
  • Demonstrate excellent telephone manner and communication skills as well as good organisational and customer service skills.
  • Excellent planning and organisational skills, including the ability to manage a range of tasks with conflicting priorities.
  • Competence with the Microsoft suite of programs.
  • Demonstrated ability to meet deadlines without compromising close attention to detail and accuracy.
  • A high level of interpersonal skills and demonstrated ability to participate positively in a diverse team.
